The primary responsibility of an Administrative Analyst is to provide administrative support to different teams, covering tasks such as documentation planning, project administration, and office management. This role involves collaborating to streamline processes, manage documentation effectively, and ensure smooth office operations.

Key responsibilities:

  • Assist project and construction managers in administrative functions and processes, facilitating the development and management of project plans from start to completion.
  • Monitor and synchronize all project components, prepare and distribute necessary project materials, implement policies and procedures, and attend meetings to communicate relevant information between management and staff.
  • Create project plans, set timelines and benchmarks, support team members, collaborate on project presentations, and ensure compliance with federal, state, and city regulations.
  • Provide comprehensive administrative assistance to technical and managerial personnel, encompassing documentation planning and support, project administration, executive secretarial support, office management, record-keeping, and data input to streamline processes and enhance team productivity.
  • Perform other duties pertinent to the position's scope as needed.

Qualifications to be successful in the role:

  • Bachelor's or Associate's degree in any field of study.
  • Minimum of five years providing administrative support to technical and management-level personnel.
  • Proficiency in comprehensive office administration support.
  • Ability to make administrative and procedural decisions and judgments, especially when handling sensitive and confidential issues.
  • Strong organizational skills, capable of planning, developing, and managing multiple projects concurrently while establishing priorities and meeting various deadlines effectively.
  • Advanced knowledge of various applications, including database management, word processing, spreadsheet, and presentation software.
  • Proficiency in Microsoft Office Suites.
  • Proficient in English, both oral and written.
  • Must lawfully reside in the United States and be eligible for employment (Planate does not sponsor visas or work permits).
